Work out what to charge for each service you sell

Put in the income you need and the income you want, then the minutes each task takes. See a price range for every service you sell and how many clients each price needs. It is arithmetic on your own numbers.

1 · Your numbers

Refine (costs, how long clients stay, group size, up-front discount, your stage)

Add taxes and insurance to your monthly costs only if you want the price to cover them. This is not tax advice.

2 · What else fills your week

Hours a week that are not client work. They come off the hours you can bill, so they raise your price. These are starting guesses: change them to your own week.

8 hours a week on other work.

3 · What you sell

Pick the services you offer or might offer. Each one opens a list of tasks with the minutes it takes. The minutes are starting guesses for a coach who is new to this. Time two real clients for a week and replace them.

Online 1:1, full: minutes per client per week

A written program, check-ins, messages and form checks for one client.

Online 1:1, light: minutes per client per week

A program and a short check-in. Little back and forth in between.

Program only, no personal contact: minutes per client per week

A self-serve program many people can buy. You answer the odd question.

Small group, online: minutes per client per week

One program for the group, with check-ins and messages for each person.

Fill the five numbers above and your price ranges appear here.

How do I work out what to charge for coaching?

Start from the income you need and the income you want each month. Take the hours you work in a week and subtract the hours that go on everything that is not client work: finding clients, sales calls, admin and learning. Multiply the income plus your monthly costs by 12, then divide by the client hours you have in a year after weeks off, reduced by the share of billed time that never pays. The result is your hourly floor: the least one hour with a client must bring in. For each service, add up the minutes one client takes in a month, from writing the program to replying to messages, and multiply by the floor. That gives a low price from the income you need and a high price from the income you want.

What this does not tell you

  • No. It is arithmetic on your own numbers and does not know what coaches near you charge or what your clients can pay. If you tell us how many paying clients you have, it adds one reference line for online 1:1: the band our own offer wizard uses at that stage. That band is a rule of thumb we set, not a survey. If the result is higher than your clients will pay, the honest options are more client hours, a lower income target, lower costs, fewer minutes per client or a different offer.
  • The minutes for each task and the hours for your other work start as guesses for a coach who is new to this, not measured data. Time two real clients for a week, then replace them. A new coach also does not know their share of time that never pays yet: enter a guess and replace it after a month.
  • Your income is before your own tax. The sum does not cover tax, social charges or insurance unless you add them as costs. Have an accountant check those.

Once you have a price

The words matter as much as the number. The Consult-to-Client Pack has the sentence that names the price, the two-options rule and the replies to “It’s too expensive” and “Can you do a discount?”.

In Strength Academy you create each package as a service tier with its price. Clients pay through your own Stripe account and we take 0% of those payments (Stripe’s own fees still apply).
